Staff members play a critical leadership and operational role in making the convention run smoothly. This is a higher-responsibility position than general volunteering and includes event preparation, shift leadership and direct support of the event’s success. Staff Departments

Convention Operations – Scheduling, crisis management, staff dispatching, tracking hours, volunteer support

Creativity – Assist with art events, decorations, workshops and creative elements throughout the year

Events – Convention and con-sponsored events and performers, panel and main event equipment management

PR/Outreach – Convention promotion, public communication, volunteer recruitment, and personnel support

Registration – Manage attendee check-in, badge distribution, lost badge replacements and guest support

Safety – Oversee ID checks, enforce pathways and capacity, manage incidents and support the Headless Lounge

VIP Management – VIP badge holders, featured attendee, and special guest coordination and assistants

Vendor Operations – Vendor outreach and communication, approvals, hall setup/teardown, room layout
ConOps Dispatcher
The ConOps Dispatcher serves as the “911” hub for convention operations.
Key Responsibilities:
Monitor convention communication channels.
Dispatch staff to incidents, requests, and operational needs.
Maintain incident and activity logs.
Coordinate communication between departments.
Escalate emergencies or critical issues to leadership.
Assist with operational tracking throughout the event.

Photography Lead
The Photography Lead oversees all convention photography and videography operations.
Key Responsibilities:
Manage photography staff.
Create photography schedules and assignments.
Coordinate coverage of major events and guests.
Ensure consistent photo quality and standards.
Manage photo storage, organization, and distribution.
Work with Marketing for post-event promotional use.

Videographer
The Videographer records video footage of convention activities, performances, interviews, special guests, and promotional content.
Key Responsibilities:
Film assigned events and convention activities.
Record interviews and special presentations.
Maintain video equipment and recordings.
Coordinate with Photography and Marketing teams.
Submit edited photos to the company drive after the event.
Coordinate with Photography Lead on priorities.

Paneling Lead
The Paneling Lead oversees all convention panel programming.
Key Responsibilities:
Manage panel application and review processes.
Maintain panel schedules.
Communicate with presenters and panelists.
Manage rooms and resources.
Resolve scheduling conflicts.
Ensure panel policy compliance.

Human Resources Lead
The Human Resources Lead manages staff and volunteer recruitment, onboarding, retention, conflict resolution, and personnel support.
Key Responsibilities:
Recruit and onboard staff and volunteers.
Maintain staff records and documentation.
Coordinate training and orientation.
Address staff concerns and disputes.
Support department managers with personnel matters.
Promote staff welfare and organizational culture.

Asst. Registration Lead
The Assistant Registration Lead supports the Registration Manager in managing attendee check-in, badge distribution, registration systems, and registration staff.
Key Responsibilities:
Assist with registration planning and setup.
Supervise registration staff as assigned.
Help resolve attendee registration issues.
Monitor registration workflows and queues.
Ensure badge and materials distribution.
Act in the Registration Lead's absence when needed.

VIP Manager
The VIP Manager oversees the convention's VIP experience, ensuring special guests, sponsors, featured attendees, and VIP badge holders receive exceptional service and support.
Key Responsibilities:
Manage VIP programs and benefits.
Coordinate VIP check-in and services.
Serve as primary contact for VIP attendees.
Organize VIP-exclusive events and activities.
Coordinate with Guest Relations and Event Staff.
Resolve VIP concerns and special requests.

Artist/Graphic Designer
The Artist/Graphic Designer creates original artwork that support the convention's branding, promotional efforts, publications, merchandise, signage and attendee experience.
Key Responsibilities:
Create promotional and branding artwork.
Design graphics for social media, websites and printed materials.
Develop convention mascots, logos and themed artwork.
Meet project deadlines for pre-event and event needs.

Photographer
The Photographer captures still images throughout the convention, documenting events, special guests, attendees, competitions, performances, and convention activities.
Key Responsibilities:
Photograph assigned events and activities.
Take promotional photographs.
Follow photography policies and guest requests.

Coordinate with Photography Lead on priorities.

Main Events Programming Lead
The Main Events Programming Lead manages the convention's flagship events, including ceremonies, competitions, concerts, showcases, and headline attractions.
Key Responsibilities:
Coordinate with hosts, performers, and staff.
Develop event timelines and run-of-show documents.
Ensure venue and technical readiness.
Oversee execution of main stage programming.

The Marketing Lead is responsible for promoting the convention, increasing attendance, maintaining brand consistency, and managing public communications.

Develop marketing strategies and campaigns.
Coordinate advertising and promotions.

Track marketing effectiveness and audience engagement.

The Registration Manager oversees all registration operations, systems, staffing, and attendee credentialing processes.
Key Responsibilities:
Develop registration procedures and workflows.
Manage registration staff and leadership.
Oversee registration software and databases.
Coordinate badge production and distribution.
Resolve escalated attendee registration issues.
Ensure compliance with registration policies.

Important Staff Requirements

Must be 18 years or older as of July 1, 2026.

Must be able to commit to assigned shifts and arrive on time.
